ECSU Mail Center

ECSU Mail Center is the distribution hub for all incoming and outgoing mail, as well as inter-campus mail. ECSU Mail Center offers mail services such as Express Mail, Priority Mail and Certified Mail. Please visit USPS for all other services such registered mail, insured mail, and money orders. Our Mail Center follows cashless operation.

Never mail the following items: 
  • Cash or credit cards
  • Prescription Medication (if you must have medications mailed to you, please use USPS Express, UPS Next day, or FedEx Express)
  • Passport
  • Keys

 

Addressing Your Package/Envelope

All mail and packages must be addressed using the following format:
Student's First and Last Name
ECSU Residence Hall

Items not properly addressed may cause a delay in processing or be returned to the sender. 

Addressing an envelope

The address you are mailing to should be written as follows:

  • Recipient's name
  • Business's name (if applicable)
  • Street address (with apartment or suite number)
  • City, State and ZIP code (on the same line)*
  • Country*

The return address should be written in the upper left-hand corner of the envelope.

  • The return address is not a requirement on all types of mail. However, omitting a return address prevents the USPS from returning the item to you if it is undeliverable. (examples damage, postage due, or an incorrect address)
  • Some classes or types of mail do require a valid return address.

The stamp or postage is placed in the upper right-hand corner of the envelope.

Addressing a package

When addressing write the address on the largest face and parallel to the longest edge of the package. 

The address you are shipping to should be written as follows:

  • Recipient's name
  • Business's name (if applicable)
  • Street address (with apartment or suite number)
  • City, State and ZIP code (on the same line)*
  • Country*

*(for letters or packages going outside the USA, contact the Mail Center staff for any questions on address formatting for mailing internationally)

When addressing write the address parallel to the longest edge of the envelope.

 

Package Pick-Up Process

  1. Residential students receive an email informing them that a package has arrived. Packages will be delivered via smart lockers. Packages that are too large to fit in the package lockers or that require special handling can be claimed from the Mail Center window during business hours.
  2. Bring your Viking ID card when picking up your package - All package pick-ups require a valid campus ID

Our Smart Lockers provide a self-service package pickup area available to on-campus residents, conveniently located across from the University Mail Services Office. 

To take advantage of this service, be sure to retrieve your packages within 72 hours of email receipt. Packages stored within the lockers will expire after 72 hours and be relocated to the mailroom in order to make room for the next delivery.

How to collect a package from MPS Smart Lockers
Step 1: You’ll receive an email informing you that your package has arrived.
 
Step 2: Go to specific Smart Locker location according to email instructions
 
Step 3: Log in to the Smart Locker using one of the following methods: (a) QR Code (b) PIN Code
 
Step 4: Locker door will open, retrieve package(s) and make sure to close locker door. Please do not leave trash in lockers

Forwarding Mail and Packages

Please be advised that University Mail Services can only forward U.S. Postal Service - USPS First Class Mail letters. Presort Standard and Non-Profit letters and solicitations will be recycled as well. All Third-Class mail magazines, flats, etc. will be diverted as well. Packages from USPS that are Parcel-Lightweight cannot be forwarded either.

Once the packages are returned to the US Postal Service, University Mail Services cannot be responsible for the time it takes to return packages through the US Postal Service and distribution. Once the package is entered back in the USPS mail stream, it could take up to 30 days to forward the package. Sometimes, it is just returned to the sender/vendor.

Packages received from 3rd party carriers like FedEx and UPS cannot be forwarded or returned. Once received, mail service staff will do their best to contact the recipient and coordinate delivery of these packages to their intended recipients. Recipients will need to pay for the reshipment of packages, if necessary. University Mail Services is not responsible for reshipping these parcels, but we will do our best to assist you with your shipping needs. To reship an item with a third-party carrier you will generally need to know the weight and dimensions to determine the costs.

ECSU Mail Center does not forward mail for employees but will forward mail for entire departments if they move to a new location. Individuals are responsible for notifying others of their change of address. If departments receive mail for someone who is no longer there, contact staff for a forwarding address label.

When you receive mail that needs to be forwarded, cover the original address with a provided label and put the envelope or package back in the mail. If you do not know the forwarding address, University Mail Services can provide you with return to sender labels.

Additional Information for Employees

ECSU employees can send and receive mail through Interdepartmental Campus Mail, which delivers to addresses in the mail system using campus box numbers and doesn't require postage. Employees will receive university mail through our department mail delivery system. Outgoing mail is picked up as incoming mail is delivered.

All mail must be official ECSU business and can be anything from a memo for general distribution to items addressed to an individual or position at ECSU. If mail is not in an envelope, it should be folded and marked with an employee's name or title and must always have a campus mailbox number.

ECSU Mail Center sorts and delivers mail daily. We sort mail by campus box number and not by a person's name, department, building or room number. When sending mail at ECSU, make sure to list the box number, since delivery of envelopes or packages without a box number will be delayed significantly. Properly addressed mail is delivered the same day.

Meter mail is a service that enables departments to send mail and directly charge it to an Elizabeth City State University Fund Code, rather than purchasing and apply postage to each piece of mail. Meter mail can be used for any amount of mail, whether you're sending a single letter or thousands!

All meter mail sent by departments needs postage requires fund code. You can print your own postage budget code slip at your convenience. Postage slips without a fund code will be returned to the sending department. This will create delays, so please make certain to have these codes included with your outgoing mail.
